Who we are

Subsentry is a subscription-renewal watcher for small businesses. This policy explains what we collect, how we use it, and who we share it with. We do not sell your data.

What we collect

• Account data: your name, email, and password (stored hashed, never in plain text).
• Subscriptions you track: the vendor names, amounts, charge history, and renewal dates for the recurring subscriptions you add or that we detect for you.
• Financial data you import: the bank or card transactions you upload via CSV import so we can find recurring charges and watch them for price hikes and renewals.
• Payment info: your Subsentry subscription card is handled entirely by Stripe. We never receive or store your full card number.
• Basic technical data: a sign-in session cookie and standard server logs needed to run and secure the service.

How we use it

Solely to provide Subsentry: to watch the subscriptions you track, flag price hikes, send the renewal warnings and import reminders that are the core of the service, process your subscription, keep the service secure, and support you. We do not use your data for advertising, and we do not sell it.

Email notifications

Email is how Subsentry reaches you between visits: we send renewal warnings ahead of upcoming annual renewals, a reminder when it's time to import fresh transactions, and account notices (such as billing and security). Price hikes are shown in the app when you import the charges that reveal them. You can turn alert emails off in Settings. We deliver email through our provider (Resend).

Connected AI assistants

If you connect an AI assistant such as Claude or ChatGPT, this is what happens to your data:

• What it can read: the subscriptions in your account (vendors, amounts, charge history, renewal dates, alerts and drafted letters) and your name and email. What it reads is then also handled by the assistant's provider, under that provider's privacy policy. You choose that provider; it is not one of our subprocessors.
• What it can send us: suggestions (a vendor, a product, an amount, dates) and where it found each one: the date of the email, the sender's domain and the subject line, or that you told it in the chat. Never the body of an email, attachments or anyone's email address. Subsentry never connects to your email account and never reads your email.
• What we record: for each request your assistant makes, which tool it used, when, whether it worked and how long it took. Not what it asked or what it got back. We delete these records in a weekly clean-up once they are 90 days old, and use them to show when an assistant was last used, to limit how often it can call, and to keep the service secure.
• Suggestions: ones you don't answer expire after 30 days. Approved and declined ones stay in your history while your account is open.
• Disconnecting: in Settings, at any time. From its next request the assistant can't read or send anything, and its stored sign-in tokens are deleted.

Who we share it with (subprocessors)

We use a small set of trusted providers to operate Subsentry, each handling only what their job requires:

• Stripe — subscription billing and card processing.
• Resend — to deliver transactional email, renewal warnings and import reminders.
• Neon (database) and Vercel (hosting) — to store data and run the application.

Security

Data is transmitted over TLS and stored with a managed database provider. No system is perfectly secure, but we take reasonable measures to protect your information.

Data retention & your rights

We keep your data while your account is active. You can export your data any time, and you can ask us to delete your account and its data by emailing us. We may retain limited records where required by law (for example, billing records).

Cookies

We use a single first-party cookie to keep you signed in. We don't use third-party advertising or tracking cookies.

Children

Subsentry is for businesses and is not directed to anyone under 18.
